Terms of Service

1. What BookFlows is

BookFlows is scheduling, invoicing, payment-collection, and review-request software for solo and small service businesses. Vendors use it to manage jobs with their own customers ("Customers"). BookFlows is not a party to the service Vendors provide their Customers and is not responsible for the quality, safety, or legality of that service.

2. Eligibility and accounts

You must be at least 18 and authorized to act on behalf of the business you register. You're responsible for the accuracy of information you enter, for keeping your login secure, and for everything that happens under your account.

3. Subscription, trial, and billing

BookFlows is offered on a subscription, billed monthly or yearly at your choice; paying yearly costs 20% less than twelve monthly payments. Every plan includes every feature; you choose which features to turn on, and the price depends only on how many people work in your business. Every new subscription starts with a 14-day free trial (no card is required to start it; after the trial ends, access is paused until a valid card is added, and you are not charged before then). Subscriptions renew automatically each month until canceled. You can cancel anytime from Settings; cancellation takes effect at the end of the current billing period. Fees are non-refundable except where required by law.

Price. BookFlows is priced by the number of people in the Vendor's business, counting the Vendor: $24.99/month for one person, $39.99/month for 2 to 5, $69.99/month for 6 to 10, and $99.99/month for 11 to 15. Every plan includes every feature. A Vendor may change plan at any time; a change takes effect immediately and is prorated against the current billing period. Businesses of 16 or more people are priced by separate agreement, and any agreed pricing replaces the rates above for that Vendor.

Legacy founding rate (closed). The founding rate of $19.99/month is no longer offered to new subscriptions. Vendors whose subscription started on that rate keep it for as long as that subscription remains continuously active. If such a subscription is canceled, lapses for non-payment, or is terminated for any reason, the founding rate is forfeited — a later subscription is billed at the then-current standard rate.

Retiring legacy plans. We may retire or change the price of any plan, including the legacy founding rate, by giving affected Vendors at least 30 days' notice by email before the change takes effect. Continuing to use the Service after that date means you accept the new plan or price; you may cancel before it takes effect without penalty.

Complimentary access. We may, at our discretion, grant free or discounted access for a fixed period. Such access is not a subscription, carries no founding-rate entitlement, and ends on the date stated when it was granted.

4. Payments to Vendors

When a Vendor connects Stripe, payments from that Vendor's Customers go directly to the Vendor's own Stripe account, on the Vendor's own payout schedule. BookFlows never holds Vendor or Customer funds and does not take a percentage of job payments — our only fee is the subscription described in Section 3. Card processing fees are set by Stripe, not by us. If a Vendor chooses to pass a card fee on to a Customer, that fee is displayed to the Customer before payment, in accordance with applicable law.

5. Messaging

BookFlows sends SMS and email to Customers on a Vendor's behalf, at the Vendor's direction. Most of these are transactional — confirmations, reminders, running-late notices, invoices, and receipts — sent because a Customer booked or paid for a job. Review requests are treated as promotional: they are never sent between 9:00 PM and 8:00 AM in the Customer's own timezone, which BookFlows collects when a Customer is added or books online. By entering a Customer's contact information into BookFlows, you represent that you have that Customer's permission to be contacted for their own appointment. You are responsible for honoring opt-out requests and for complying with applicable telemarketing and messaging laws in how you use the Service. 6. Acceptable use

Don't use BookFlows to send unsolicited messages, to contact anyone who hasn't agreed to be contacted about their own appointment, to harass or deceive anyone, to fabricate or manipulate reviews, or to violate any law. We may suspend or terminate accounts that misuse the Service, including sending unauthorized or unwanted messages.

Your subscription is priced for ordinary use by a working service business, and it includes the messages that ordinary use produces — we don't ask you to count confirmations, reminders, invoices, or review requests. We reserve the right to suspend or close an account whose use of the Service is not consistent with that, including volume or activity that appears automated rather than generated by a person running real jobs. Where it is reasonable to do so, we will contact you first and give you a chance to explain or correct it.

7. Reviews

BookFlows helps Vendors ask their Customers for honest reviews. We never gate, filter, or block a Customer's ability to leave a public review, and Vendors may not use the Service to fabricate reviews or offer incentives conditioned on a positive review.

8. Termination

By you. You may stop using the Service and cancel your subscription at any time, from Settings. Cancellation takes effect at the end of the current billing period.

By us. We may suspend or terminate your account and close it at any time, for any reason or for no reason, at our sole discretion — including, without limitation, for violation of these Terms, non-payment, messaging abuse, conduct that puts our messaging or payment providers at risk, or because we are discontinuing the Service. Where we terminate without cause, we will refund the unused portion of your current billing period. Where we terminate for violation of these Terms, fees are non-refundable as described in Section 3.

Your data on termination. Except where we are terminating for abuse or where the law requires otherwise, we will give you at least 30 days from the date we notify you to export your customer, job, invoice, and payment records. You can export at any time from your Reports page. After that period we may delete your data.

Declining new accounts. We may decline to provide the Service to anyone, and may refuse or block the creation of a new account by someone whose account we have previously closed.

Nothing in this Section limits any right you have that cannot be waived by agreement, and nothing here permits us to act unlawfully, including on the basis of any characteristic protected by applicable law.

9. Disclaimers and limitation of liability

The Service is provided "as is" without warranties of any kind. To the fullest extent permitted by law, BookFlows is not liable for indirect, incidental, or consequential damages, or for lost profits or data, arising from use of the Service. Our total liability for any claim is limited to the amount you paid us in the twelve months before the claim arose.

10. Changes to these Terms

We may update these Terms from time to time. For material changes, including plan or price changes covered by Section 3, we will give notice by email at least 30 days before they take effect. Continued use of the Service after a change means you accept the updated Terms.
